Data protection contact

If you have any questions about this policy or how we handle your data, contact us at Berkeley-Pharmacy@outlook.com or write to us at the address above.

What information we collect

We collect:

(a) Information you give us through our website forms

  • Contact form: your name, email address, phone number and the content of your message.
  • Submit a Pet Prescription form: your name, email and phone number, your pet’s name and type, your vet practice’s name and phone number, the medication needed, any additional notes, and the prescription document you upload.

(b) Information collected automatically when you use our website

Technical data such as your IP address, browser type, device information and how you use the site, collected through cookies and similar technologies.

(c) Information we collect when you use our pharmacy services

When you use our NHS or private pharmacy services (for example dispensing, Pharmacy First consultations or vaccinations) we collect and hold the health and medical information needed to provide safe care, handled in line with our professional obligations and the confidentiality standards of the General Pharmaceutical Council and the NHS.

Special category (health) data

Some information we hold, such as details of medications, health conditions or treatment, is ‘special category’ data under data protection law and is given extra protection. We only process it where we have a lawful basis, such as the provision of health care and treatment, or with your explicit consent.

How and why we use your information (lawful bases)

We only use your personal data where the law allows. The lawful bases we rely on are:

  • Consent — for example when you submit an enquiry or prescription request through our website.
  • Contract — to provide the services you ask for.
  • Legal obligation — to meet our legal and regulatory duties as a pharmacy, including record-keeping.
  • Legitimate interests — to run and improve our business and website, where your rights do not override these.
  • Vital interests — in rare cases, to protect someone’s life.

For health-related special category data we additionally rely on the provision of health or social care, or your explicit consent.

We use your information to:

  • Respond to enquiries.
  • Process and review prescription requests (including contacting your vet or GP to verify a prescription where necessary).
  • Provide pharmacy services and advice.
  • Keep accurate records.
  • Comply with our legal and professional obligations.

Who we share your information with

We do not sell your personal data. We may share it with:

  • Your vet practice or GP surgery, where necessary to verify or fulfil a prescription.
  • The NHS and other healthcare providers involved in your care.
  • Our trusted service providers who help us run our website and store data securely (for example our website and hosting provider), under strict confidentiality and data protection terms.
  • Regulatory, law enforcement or government bodies where we are required to by law.

How we store and protect your information

Information submitted through our website forms is stored securely and sent to our pharmacy team at Berkeley-Pharmacy@outlook.com so we can respond. We use appropriate technical and organisational measures to protect your data against unauthorised access, loss or misuse, and we restrict access to those who need it. Where data is stored or processed by our providers, we take steps to ensure it is protected to the standards required by UK data protection law, including where any transfer outside the UK takes place.

How long we keep your information

We keep personal data only for as long as necessary for the purposes we collected it for and to meet our legal and professional obligations. Pharmacy and healthcare records are retained in line with NHS records management retention schedules. Website enquiries and prescription requests are kept only for as long as needed to deal with your request and any follow-up, after which they are securely deleted.

Your rights

Under UK data protection law you have the right to:

  • Be informed about how we use your data.
  • Access the personal data we hold about you.
  • Ask us to correct inaccurate data.
  • Ask us to erase your data in certain circumstances.
  • Restrict or object to our processing.
  • Data portability.
  • Withdraw consent at any time where we rely on consent.

To exercise any of these rights contact us using the details above. We will respond within the timescales required by law (usually one month).

Cookies

Our website uses cookies and similar technologies to make the site work and to understand how it is used. You can control or disable cookies through your browser settings.

Children

Our website and online services are intended for adults. Where we provide services to or hold information about children, we handle it with particular care and in line with data protection law.

Making a complaint

If you are concerned about how we have handled your personal data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
